California: The Edible Schoolyard/Chez Panisse Foundation seeks Administrative Coordinator

The Administrative Coordinator (AC) is responsible for the administrative coordination of the Edible Schoolyard (ESY) program. He/she supports the planning and execution of a fast paced, innovative, and hands on educational program within a public middle school of 1,000 students. The AC assists the ESY Director through a range of administrative tasks, project management, and coordination. The AC reports to the Edible Schoolyard Director.

Essential Skills and Abilities
The AC has a working understanding of the public education system. He/she is congenial and has exemplary organizational, communication and writing skills. He/she has the ability to manage short and long-term projects and perform tasks simultaneously – balancing program vision while tending to the mundane; is a self-starter, possesses strong social skills and a keen aesthetic; can make independent decisions and is comfortable working within a highly diverse public school environment and the multi tasking associated with a small, robust educational model.

Duties include but are not limited to:

Schedule yearly ESY class rotations in garden and kitchen
Maintain awareness of King School operating systems, events, issues and culture; initiate relationships with King administration,faculty and students
Maintain awareness of the myriad components of the Chez Panisse Foundation and ESY; public school, civic, and national developments around like-program best practices, and school lunch
Substitute in garden and kitchen classes as needed
Work in tandem with ESY team to develop long and short-term goals, explore opportunities for program innovation and integration; assess program strengths and opportunities for program improvement

Volunteer Management
Coordinate volunteers including screening, orientation, training, and scheduling
Update and distribute volunteer handbook, and maintain weekly sign-in sheets and records binder
Schedule volunteer orientation for each class rotation
Keep volunteers appraised on relevant events and schedule changes
Design and produce thank you cards and announcements as pertains to volunteers and visitors

Recruit and hire program interns on an as needed basis
Manage interns to provide administrative assistance on short and long term projects
Manage interns to respond to information requests by mail, voice, or email
Manage interns to coordinate with garden and kitchen to ensure photo documentation and maintenance of photo archives

ESY Public Tours and Outreach
Coordinate and conduct ‘First Thursday’ monthly public tours
Maintain visitors database
Facilitate outreach to the King parent, Berkeley, and greater Bay Area communities
Update ESY Facebook page
Manage writing and posting of ESY online journal (blog)

Project Management
Coordinate – in tandem with ESY management staff – ESY activities and events including but not limited to:
Community Workdays
Annual Plant Sale
ESY Academies
ESY Summer Session
School-wide events
Special ESY events: parent night, speaker series, etc.

Maintain ESY calendar; coordinate scheduling
Respond to information requests by mail, voice, or email, on case by case basis
Establish and maintain organized and current computer and ‘live’ filing systems
Collect and distribute office mail
Maintain office and first aid supplies
Support CPF/ESY grant writing and fundraising efforts
Create and maintain staff agendas, notes, and archives

Working understanding of the public education system
Excellent writing, speaking, and social skills
Strong collaborative expertise
Conversant about issues related to ESY and Foundation work and practice
Ability to work with a variety of people at all levels
Self-confident, well organized, and flexible, with the ability to maintain a good sense of humor under pressure
Demonstrated creative problem-solving skills

Word, PowerPoint, Excel, In Design, Photoshop, Drupal, and CiviCRM
