New York State: Stone Barns Center seeks Office Manager and Manager of Volunteer Programs

Stone Barns Center for Food and Agriculture is a nonprofit farm and education center located just 25 miles north of Manhattan in Pocantico Hills, NY.  Stone Barns Center operates a four-season farm and is working on broader initiatives to create a healthy and sustainable food system.  Through our education programs and the training of young farmers, we aim to improve the way America eats and farms.

Office Manager and Manager of Volunteer Programs Job Description

Supervised by the Director of Operations, the Manager will oversee all office management and administration.  This includes general office work such as answering phones, greeting guests and processing mail as well as planning ahead to undertake office projects that will help the organization pursue its mission successfully.  The manager will provide support for the entire organization and should have a strong service ethic.  S/he will fulfill a wide variety of tasks to keep the office running smoothly and professionally.

The manager provides support to the Executive Director serving as her personal assistant.  This includes managing calendars, booking travel, processing expense reports and preparing agendas for meetings.  S/he will also support the Board of Directors when they visit the Center, and help with Board meeting preparation.

S/he will take on special projects on behalf of the Executive Director and Finance and Operations team.   Projects may include a wide range of initiatives from organizing a spring office cleaning to managing the annual turkey sale to researching issues related to organizational development and fundraising. 

S/he will manage internal communications including the bi-monthly production of News You Can Use and the organization of quarterly staff meetings and periodic brown bag lunches.

The manager will also direct and organize volunteer programs on behalf of the organization.  This includes recruiting, screening, orienting and placing volunteers in departments across the institution.  S/he will design continuing education and benefits programs for volunteers to support and recognize their work and contributions.

Last, and as time permits, s/he may be asked to engage in fundraising and development, and administration of public programs.  This may include preparing member mailings, entering data about new members, organizing registration, posting announcements on the Stone Barns website, and greeting program participants. 

Specifically, the Manager will:

  • Manage the office
    • Answer the phones and information email box
    • Greet visitors and guests
    • Process mail
    • Order supplies
    • Oversee the organizational calendar, coordinate the scheduling of meetings
    • Assist with internal communications
    • Ensure the office is clean and aesthetically consistent with the look and feel of the Center
    • Oversee contracts and maintenance of office equipment
    • Oversee space planning
    • Oversee program registration
    • Other responsibilities as needed
  • Support the Executive Director
    • Book travel
    • Process expenses
    • Manage calendar
    • Board meeting preparation and Board members support
    • Other responsibilities as needed
  • Contribute to overall operations in Finance, Human Resources and Information Technology
    • HR: keep records of paid time off, oversee job postings, maintain phone lists, provide new employee orientation
    • Finance: process expenses for Executive Director and Board President, process office invoices, distribute monthly credit card statement
    • Other responsibilities as needed
  • Manage organizational initiatives and projects.
    • Oversee volunteer programs
    • Other responsibilities as needed

Required Skills and Experience:

  • A Bachelor’s Degree and at least 3-4 years related work experience
  • Strong communications skills
  • Excellent computer skills
  • Demonstrated ability to work independently and as a team member
  • Well organized, detail oriented, flexible and able to manage multiple projects simultaneously
  • Strong ability to take care of matters on own and displays excellent judgment on which matters to be handed to others
  • Willingness to take initiative and take on new assignments and projects
  • Commitment to and passion for Stone Barn’s mission

Compensation:

Stone Barns offers a nonprofit salary commensurate with experience and comprehensive benefits including medical, dental, vision, life insurance and a 410k plan.

This is a full-time, exempt position. Regular days of work are Monday through Friday.  Weekend and evening hours are occasionally required.
